Job Description

Direct Reporting Line:

  • Head Academic Operations

Job Purpose:

  • To maintain student records including assessment administration
  • Collection of assessments
  • keeping of registers and capturing and/or importing of marks.

Key Performance Area:

  • Document management
  • Operating Procedures documentation
  • Including query resolution
  • Data capturing
  • Assist with administrative duties and set up of assessment cycles
  • Storeroom management and archiving
  • Support management and the Academic team to ensure that deadlines are met student queries are resolved within agreed time frames.

Support overall Campus Activities:

  •  Registration of students
  •  Orientation
  •  Open days
  •  Internal and external audits.

All tasks to be performed in line with approved Policies and Procedures All Assessments

  • Including Tests and Replacement Tests
  • Obtains timetable of assignments and Portfolios of Evidence from Academic Operations Management Team
  • Allocate venues
  • Place Student Notices regarding assessments on all required platforms; i.e. Notice Boards; Student Information Sites etc.
  • Prepares submission and/or Attendance Registers to Assessment Office for distribution to Academic / Invigilation Teams
  • Returns completed tests to assessment office for distribution to Lecturers for marking


  • Check CASS register in terms of which students are eligible for writing exams
  • Once Chief Invigilator has collected exam papers, logistics are checked such as notices for “exam in progress”, labelling and floor plans are done
  • Counts answer booklets received against the question papers and popilate into the logbook and;
  • Returns completed exam papers to assessment office for distribution to Lecturers for marking

Minimum requirements

  • Administrative qualification
  • Matric

Work Experience:

  •  Administrative duties & client services experience
  •  Experience within an Educational Institution is required.
