AVI Field Marketing, a division of AVI Limited, handles the sales and merchandising for the beverages, snacking, and cosmetic business units to ensure improved execution at the store level.

An opportunity has become available for an Administration Assistant to provide administrative support to the Regional Operations Manager and Area Sales Managers in order to achieve operational excellence.

Duties and Responsibilities:

  1. Maintain all relevant master data/files
  • Ensure the service master is up to date at all times
  • Keep asset registers up to date
  • POS monitors
  • New product launch monitors
  • Free stock monitors
  • Equipment issue documents
  • Vehicle register – C Track Database
  • OK Super Rep updates
  • Loading of incidents and accidents onto the portal
  1. Monitor and report on compliance to budget
  • Draw monthly expenses report and analyze expenses
  • Probe for further information and keep budget monitor up to date, ensure deadlines are met for feedback
  1. Maintain relevant administrative records and documentation
  • Manage and keep Attendance register for Non-UIG staff up to date
  • Work closely with HR and ensure completion of any relevant documentation as required
  1. Reconcile all regional expenses and investigate and rectify discrepancies.
  2. Manage company credit card /corporate card.
  • Process expense claims timeously on a monthly. This must be adhered to according to the company corporate card policy and only be used for business purposes. Report any discrepancies and anomalies to the Regional Operations Manager.
  • This refers to all invoices/charges for the region’s cost center – Printing, Stationary, Catering, Travel expenses, Cycle meeting expenses
  • Petty cash reconciliations and controls
  1. Effective customer and BU relationships
  • Establish good relationships with field staff and BU’s
  • Share information and handle complaints in an effective manner according to company procedures
  • Redirect queries and complaints according to instructions and operational brief
  1. Effective administration
  • Conduct the necessary daily, weekly, and monthly planning
  • Compile relevant reports as requested and submit them timeously
  • Distribute monthly salary input information to ASM’s where required
  • Complete regional sales administration timeously
  • Maintenance and safekeeping of company equipment such as projectors and camera’s
  • Ensure monthly fuel and mileage logs are up to date and submitted on time


  • Comprehensive working experience in an administrative environment


  • Grade 12 (Matric)
  • Relevant business-related tertiary qualification

Additional Requirements:

  • Computer literate – MS Excel (Advanced)
  • SAP (advantageous)
  • Valid Drivers’ licence
