Main purpose of the job:
To provide administrative support to the project and project management team
through the planning and organizing of meetings, workshops and satellite site
visits, management the project office including keeping record of inventory,
filling, minute taking, and any other administrative duties as required.

Key performance areas
This position will suit a dynamic and self-motivated individual with excellent organizational skills, insight into the
research fields of the SBIMB (genetics, genomics, bioinformatics, evolutionary biology etc.)
Maintaining a good filing system and assisting with photocopying, collation and distribution of documents
Liaise with ICT for IT related queries or requests as well as general maintenance of printers
Liaise with relevant service providers to assist with general maintenance of the building
Take Inventory of SBIMB consumables (stationery and groceries)
Asset Verification
Assist in writing SOPs related to the effective functioning of the organization’s administration and facilities.
Admin support to Project managers and Finance Officer.
Obtaining quotes from relevant suppliers within set budgets and policy requirements.
Processing of orders for the project’s office and the research laboratory.
Receipting of goods/orders and capturing payments.
Follow up on payments and making sure the suppliers are paid.
Staff, student and guest travel flight arrangements.
Booking of Accommodation.
Arranging of shuttle services.
Preparation of subsistence allowance for travellers (Per Diems).
Preparations of workshops, trainings and seminars.

Required minimum education and training
Bachelor’s degree, a scientific background would be advantageous.
Desirable additional education, work experience and personal abilities
2-3 years office administration in research environment
Required minimum work experience
Excellent written and verbal communication skills.
Able to prioritize own workload in meeting deadlines and handle pressure.
Able to work independently and as part of a multi-disciplinary team.
Strong administrative and communication Skills, attention to detail.
Proficient use of the Microsoft Office packages.
Adaptable, Reliable and has a strong sense of Confidentiality for Office Affairs.
Communicate effectively with the Senior Management Team, support staff as well as with all external stakeholders
