Purpose of the Job: To provide an effective, efficient and responsive administrative and logistical service to the Manager.
Key Performance Areas
Office Management
- Manage the office of the Manager
- Provide effective and efficient office management and administrative functions
- Screen phone calls, enquiries, and requests, and handling them where appropriate
- Route enquiries to responsible person
- Act as liaison between the Office of the Manager, clients, internal and external stakeholders, and staff
- Assist the Manager in the management of the office budget
Document management
- Develop and maintain document management system (Electronic and manual)
- Manage filing and correspondence
Correspondence Management
- Deal with/and respond to correspondence
- Taking dictation and minutes and typing minutes, letters and memos
- Produce documents, briefing papers, reports, charts and presentation
- Writing executive summaries and newsletters
- Conduct research
- Reporting, review and quality assure all documents that are submitted for the Manager’s attention
Logistical Support
- Prepare travel arrangement for the manager
- Organize and manage events, workshops, meetings
- Assist and coordinate departmental/divisional projects
- Order stationery and office equipment
- Create and manage purchase requisitions and ensure timeous payment of purchase orders
Time and Desk Management
- Attend meetings and ensure the Manager is well prepared for meetings
- Organize and maintain dairy and make appointments
Qualifications and Experience
- Matric (Grade 12)
- A secretarial Diploma or Diploma in Office Administration will be an added advantage
- Working knowledge of MS Office
- Computer literacy
- SAP experience will be an added advantage
- At least 18 months working experience as a PA/Secretary or similar environment is a prerequisite

Remuneration
Total cost to company applicable to this position is minimum R221 229.00 per annum, negotiable.
NB: “RAF offers Total Employment Cost packages with no additional contributions from the Employer, successful candidates are required to structure their packages in a manner that will suit their needs”.
