Introduction
A vacancy exists for a Ward Secretary based at Life Pasteur Hospital (Bloemfontein- Free State) reporting to the Therapy Services Coordinator. The successful candidate will be responsible for the administration and stock control of the unit, as well as providing clerical support to the team and other related tasks.
Critical Outputs
Effective delivery of quality customer care

  • Ensure excellent patient and customer service in accordance with Life Rehabilitation standards.
  • This also includes professional telephone skills.
  • Managing ward inventory and quarterly stock take.
  • Management of all hospital related IM reports and capturing of Alerts and FIM scores on Info-Quest.
  • Preparing all admission documentation for both doctors and therapists, updating patient files and signing off of all discharged patient files.
  • Responsible for effective filing system and storage of electronic data as per requirement (this includes all patient and unit documentation).
  • Ordering monthly stationery and printing.
  • General clerical and administrative work as allocated by the Therapy Services Coordinator, Doctors and RAC’s.
  • Generating weekly report schedule and creating templates to be used by staff to create these reports that are sent to funders on a weekly basis.
  • Generate FIM spider-graphs and import them to the admissions, progress and discharge reports.
  • Assist with marketing events as scheduled by Therapy Services Coordinator.
  • Assist with motivations and quotations for equipment – CAPEX
  • Responsible for capturing of labour hours, stats and other data.
  • Must be able to establish and maintain good relationships with all other functions within the hospital and referring doctors.
  • Effectively respond to queries and handle accordingly.
Requirements
  • A Grade 12 is essential
  • An Office Administration (NQF4/5) qualification will be advantageous
  • Computer literacy and proficiency in Microsoft Office (Excel, PowerPoint, and Word) and accurate typing is essential
  • Secretarial experience in a healthcare environment is essential
  • Hospital experience will be an advantage
  • Competencies required are attention to detail, results orientated, well organized, excellent interpersonal and communication skills. Customer focus, commitment to continuous improvement, the ability to work independently and management of time is required
  • Knowledge and understanding of CPT/ICD coding will be advantageous
  • Pass Verification assessment (i.e., Criminal check, etc.)
